Title Company Closing Instructions

Eden Roc Maintenance Association now manages ownership records directly using PayHOA.
To ensure accurate and timely updates to HOA accounts, all title companies must follow the closing instructions below for any property located in Eden Roc.

This inbox is monitored by the Board and our account manager to ensure prompt updates to homeowner accounts.

📑 Required Documents at Closing

Please email the following items in a single message (PDF preferred):

Final Settlement Statement (Closing Disclosure)

Executed or Recorded Deed

Buyer Information:

Full legal name(s)

Email address(es)

Mailing address

Phone number

Seller Forwarding Address

Date of Closing / Ownership Transfer

Failure to include this information may delay activation of the new owner’s account and amenities.

💳 HOA Dues & Assessments

Eden Roc bills annually for HOA dues.

Any prorations between buyer and seller must be handled by the title company at closing.

If there is an outstanding balance, the payoff amount must be collected and remitted at closing.

🌐 Owner Portal (PayHOA)

Eden Roc uses PayHOA for owner accounts.

After closing documents are received and processed, the new owner will receive an email invitation to create or access their PayHOA account.

Through PayHOA, owners can view balances, make payments, and submit requests.

🔑 Amenity Access (Pool & Amenity Center)

Amenity access is managed through the owner’s portal.

New owners may request key fobs for the pool and amenity center through PayHOA after ownership is updated.

Instructions for fob requests are available in the portal.

⚠️ Important Notice

If closing documents are not submitted:

Portal access for the new owner may be delayed

Amenity access may be delayed

Billing and records may not reflect the correct owner
